Sattler College is committed to respecting the privacy of information and data that may be used to identify you (your “personal information”). This Privacy Notice describes our policies and practices regarding the most common ways we collect and use personal information.

Applicants and Prospective Students

Personal Information We Collect

Sattler College collects and uses personal information about applicants and other prospective students. If you are or have been an applicant, we may collect and use the following types of personal information about you:

  • Information and supporting documentation that you provide in your application, including through third parties such as Populi.
  • Related application materials (e.g., recommendations, references, and test scores)
  • Information that you have permitted a third party, such as The College Board, to release (e.g., AP or PSAT scores, demographic information, academic information)
  • Contact information for prospective students that we receive from other institutions and from vendors who conduct advertising activities for us
  • Financial information, including financial information about your family members (e.g., information collected in connection with applications for financial aid, loans, and scholarships)
  • Survey responses (if you choose to respond to a survey sent by us or on our behalf)
How We Use Your Personal Information

Your personal information is used primarily to evaluate your application and related activities, such as evaluating requests for financial aid, communicating with you about your application, and other administrative functions related to the admissions and enrollment process. We may also use or disclose your personal information for the following purposes:

  • To consider requests for accommodations
  • For research and statistical purposes
  • To provide you with information about Sattler College and events that you might be interested in attending
  • To send surveys for research purposes
  • For compliance with legal obligations, to respond to subpoenas, court orders, or other legal process, and to enforce our agreements
  • To prevent or investigate fraud or other unlawful activity, and to protect the security of Sattler College’s property, website, and other systems
  • To meet the obligations of private organizations with oversight over Sattler College, such as accreditation organizations
  • To protect the health and safety of you, other students, faculty, staff, and visitors
How We Share Your Information

  • Individuals who assist in the application process, such as faculty and outside consultants
  • Other departments within Sattler College
  • Your financial institutions and funders (e.g., as necessary for obtaining loans, scholarships, or other funding)

  • Vendors who provide services to Sattler College
  • Governmental bodies as necessary for compliance with law and with law enforcement authorities when necessary

With respect to personal information subject to the GDPR, we rely on the following lawful bases for processing:

Students, Faculty, and Staff

Personal Information We Collect

When you are a student at Sattler College, or a member or prospective member of the faculty and staff, we maintain records containing your personal information. We may collect and use the following types of personal information about you, as applicable:

  • Your contact information and biographical data (e.g., name, address, date of birth, race, ethnicity)
  • Application materials and supporting documents (e.g., applications for admission or employment)
  • Copies of identification documents and other official documents (e.g. driver’s license, I-9 form, passport/visa information)
  • Employment and/or educational records (e.g., job history, job reviews, transcript information)
  • Academic work product and related information (e.g., research and course-related content)
  • Records about your other activities (e.g., involvement in clubs, disciplinary actions and similar incidents)
  • Financial information (e.g., payroll information, information related to tuition payments)
  • Health information (Most health information about students is stored in the records of Sattler College Health Service for the purpose of providing you with health care services, although some is stored in other locations, such as in our Disability Services Office. Please refer to the Sattler College Health Service Notice of Privacy Practices for additional information regarding the use and disclosure of health information in connection with the Sattler College Health Service.)
  • Information about technology usage (e.g., IP addresses, login history, software downloads)
How We Use Your Personal Information

We use this information for the following purposes as applicable:

  • To provide educational, employment and/or related services (e.g., maintaining relevant records of your studies or employment, providing you with access to facilities and support services, such as counseling and IT services)
  • To administer the financial aspects of the relationship (e.g., payroll, collecting tuition, coordinating with lenders or other funders)
  • To enable your participation at events and in other opportunities (e.g., graduation, study abroad programs, internships)
  • To protect the educational integrity of the school (e.g. disciplinary actions)
  • To accommodate special needs (e.g., disability accommodations)
  • For research and statistical purposes related to our educational and/or other services
  • To provide basic contact information in student, faculty, and/or staff directories
  • For the general operations of Sattler College and related administrative functions

How We Share Your Personal Information

Alumni and Other Supporters

Personal Information We Collect

Sattler College holds personal information related to its alumni and other supporters (such as donors, prospective donors, volunteers, and family members of students). If you are an alumnus or other supporter, we may collect and use the following types of personal information about you:

  • Academic information (e.g., major, transcript, degree)
  • Biographical information (e.g., name, date of birth, ethnicity, sexual orientation, religious affiliation)
  • Contact information (e.g., email address, phone number)
  • Your activities at Sattler College (e.g., club memberships)
  • Your involvement with Sattler College and other interests (e.g., attendance at events, philanthropic interests)
  • Family information (e.g., marital status, name of spouse)
  • Health information (e.g., disability, food allergies)
  • Financial information (e.g., history of donations, wealth information)
  • Employment information

We collect data about alumni and other supporters from various sources, including directly from the individual (for example, by filling out a form on our website). We also retain information from your student records if you studied here. We also collect information from publicly available sources, such as social media, and from third parties, such as companies that conduct wealth screening or other people that might know you and your philanthropic interests.

How We Use Your Personal Information

Your personal information is used for the following purposes:

  • Sending you informational publications (e.g., newsletters from departments and clubs you may have interest in)
  • Conducting surveys so that we can learn more about our alumni and other supporters
  • Providing services (e.g., career services)

Personal Information We Collect

The Sattler College website is an information system intended to present an integrated view of the College to prospective students, alumni, the members of the Sattler College community, and others with an interest in Sattler College. If you visit this site to view or download information, or submit information to us, we or our third-party vendors may automatically collect the following types of personal information:

  • the name of the domain from which you access the Internet
  • the date and time of your visit
  • the page(s) you visit
  • your computing platform

Some of this information may be collected through the use of cookies, which are text files that are placed on your hard disk by a web server, or similar technologies, such as web beacons. Some of these cookies are managed by third parties that we do not control, such as Google Analytics. You have the ability to accept or decline cookies by changing your browser settings. If you choose to decline cookies, some features on this website may not work properly.

If you use our website to complete forms, use our applications, or submit information to us, we will collect the information that you provide to us, as well as related information.

How We Use Your Personal Information

The data collected with cookies and similar technologies are used in the aggregate for purposes of analyzing site traffic, managing the site, and providing accountability regarding the usefulness of our work.

Information collected through website forms is used as specified on the form or as otherwise described in this notice.

This web site contains links to many sites that are beyond our control. Sattler College is not responsible for the privacy practices or content of these other sites. Users of these services are subject to the privacy policies established by the third-party provider.

Transfer of Information to the United States

Sattler College is located in the United States. Information we collect from you will be processed by Sattler College in the United States. Sattler College may also transfer your personal information to third parties, including our vendors, as described in this notice that may be located outside of the European Economic Area (“EEA”).

The United States has not sought nor received a finding of “adequacy” from the EEA, which means that the data protection laws in the United States may not offer you the same protections as in the country in which you are residing when the personal information is collected. With respect to transfers outside the EEA, Sattler College generally relies on derogations for specific situations. In some circumstances, Sattler College may enter into standard contractual clauses governing the import or export of personal information, or rely on your consent. In all cases, Sattler College endeavors to apply suitable safeguards to protect the privacy and security of your personal information, particularly sensitive data, and to use it in a manner that is consistent with this Privacy Notice.

Retention of Data

Sattler College retains personal information about students and alumni indefinitely for the purpose of alumni relationships, academic record-keeping, and archiving purposes. Other personal information will be retained in accordance with applicable Sattler College data retention policies.

Communications from Sattler College

Sattler College periodically send marketing communications to alumni, supporters, and other members of the Wellesley community, such as newsletters, event invitations, and fundraising information. If you would like to request that Sattler College limit or stop these marketing communications with you, please contact us at support@sattlercollege.org. If you request to be removed from our mailing lists, we will retain your contact information to ensure that we do not continue to contact you for these purposes. If applicable, we will also continue to process your personal information for other purposes consistent with this Privacy Notice.

Individual Rights

If you are located in the EEA, you may have the following legal rights under applicable law with respect to the personal information processed by Sattler College:

  • To withdraw consent at any time, if we are processing your personal information on the basis of consent
  • To access the information that Sattler College has about you
  • To request that Sattler College rectify or erase your information
  • To request that Sattler College restrict the way it uses your information
  • To object to the way Sattler College uses your information
  • To ask Sattler College to transfer your information to someone else
  • To lodge a complaint with a data protection authority in the EEA

Sattler College’s ability or obligation to comply with your requests may be limited by applicable law.

The computing resources at Sattler College support the educational, instructional, research, and administrative activities of the College and the use of these resources is a privilege that is extended to members of the Sattler community. As a user of these services and facilities, you may have access to valuable College resources, to sensitive data, and to internal and external networks. Consequently, it is essential for you to behave in a responsible, ethical, and legal manner.

In general, acceptable use means respecting the rights of other computer users, the integrity of the physical facilities and all pertinent license and contractual agreements. If an individual is found to violate the Acceptable Use Policy, the College will take disciplinary action, including the restriction and possible loss of network privileges. A serious violation could result in more serious consequences, up to and including suspension or termination from the College. Individuals are also subject to federal, state and local laws governing many interactions that occur on the Internet. These policies and laws are subject to change as state and federal laws develop and change.

This document establishes specific requirements for the use of all computing and network resources at Sattler College.

Scope

This policy applies to all users of computing resources owned or managed by Sattler College. Individuals covered by the policy include (but are not limited to) Sattler faculty and visiting faculty, staff, students, alumni, guests or agents of the administration, external individuals and organizations accessing network services via Sattler’s computing facilities.

Computing resources include all college-owned, licensed, or managed hardware and software, and use of the college network via a physical or wireless connection, regardless of the ownership of the computer or device connected to the network.

These policies apply to technology administered in individual departments, the resources administered by central administrative departments, personally owned computers and devices connected by wire or wireless to the campus network, and to off-campus computers that connect remotely to the College’s network services.

Your Rights and Responsibilities

As a member of the Sattler College community, the college provides you with the use of scholarly and/or work-related tools, including access to the Library, to certain computer systems, servers, software and databases, to the campus telephone and voicemail systems, and to the Internet. You have a reasonable expectation of unobstructed use of these tools, of certain degrees of privacy (which may vary depending on whether you are a College employee or a matriculated student), and of protection from abuse and intrusion by others sharing these resources. You can expect your right to access information and to express your opinion to be protected as it is for paper and other forms of non-electronic communication in compliance with other Sattler College policy and agreements.

In turn, you are responsible for knowing the regulations and policies of the College that apply to the appropriate use of the College’s technologies and resources. You are responsible for exercising good judgment in the use of the College’s technological and information resources. Just because an action is technically possible does not mean that it is appropriate to perform that action.

As a representative of the Sattler College community, you are expected to respect the College’s name in your electronic dealings with those outside the College.

Policy

Acceptable Use
  • You may use only the computers, computer accounts, and computer files for which you have authorization.
  • You may not use another individual’s account, or attempt to capture or guess other users’ passwords.
  • You are individually responsible for appropriate use of all resources assigned to you, including the computer, the network address or port, software and hardware. Therefore, you are accountable to the College for all use of such resources. As an authorized Sattler College user of resources, you may not enable unauthorized users to access the network by using a Sattler computer or a personal computer that is connected to the Sattler network.
  • The college is bound by its contractual and license agreements respecting certain third party resources; you are expected to comply with all such agreements when using such resources.
  • You should make a reasonable effort to protect your passwords and to secure resources against unauthorized use or access. You must configure hardware and software in a way that reasonably prevents unauthorized users from accessing Sattler’s network and computing resources.
  • You must not attempt to access restricted portions of the network, an operating system, security software or other administrative applications without appropriate authorization by the system owner or administrator.
  • You must report if you find that you have access to confidential information that you do not need for your role.
  • You must comply with the policies and guidelines for any specific set of resources to which you have been granted access. When other policies are more restrictive than this policy, the more restrictive policy takes precedence.
  • You must not use Sattler computing and/or network resources in conjunction with the execution of programs, software, processes, or automated transaction-based commands that are intended to disrupt (or that could reasonably be expected to disrupt) other computer or network users, or damage or degrade performance, software or hardware components of a system.
  • On Sattler network and/or computing systems, do not use tools that are normally used to assess security or to attack computer systems or networks (e.g., password ‘crackers,’ vulnerability scanners, network sniffers, etc.) unless you have been specifically authorized to do so by the Director of Information Technology.
Fair Share of Resources

IT Services, and other College departments which operate and maintain computers, network systems and servers, expect to maintain an acceptable level of performance and must assure that frivolous, excessive, or inappropriate use of the resources by one person or a few people does not degrade performance for others. The campus network, cloud services and other central computing resources are shared widely and are limited, requiring that resources be utilized with consideration for others who also use them. Therefore, the use of any automated processes to gain a technical advantage over others in the Sattler community is explicitly forbidden.

The College may choose to set limits on an individual’s use of a resource through quotas, time limits, and other mechanisms to ensure that these resources can be used by anyone who needs them.

Adherence with Federal, State, and Local Laws

As a member of the Sattler College community, you are expected to uphold local ordinances and state and federal law. Some Sattler guidelines related to use of technologies derive from that concern, including laws regarding license and copyright, and the protection of intellectual property.

As a user of Sattler’s computing and network resources you must:

  • Abide by all federal, state, and local laws.
  • Abide by all applicable copyright laws and licenses. Sattler College has entered into legal agreements or contracts for many of our software and network resources which require each individual using them to comply with those agreements.
  • Observe the copyright law as it applies to music, videos, games, images, texts and other media in both personal use and in production of electronic information. The ease with which electronic materials can be copied, modified and sent over the Internet makes electronic materials extremely vulnerable to unauthorized access, invasion of privacy and copyright infringement.
  • Do not use, copy, or distribute copyrighted works (including but not limited to Web page graphics, sound files, film clips, trademarks, software, and logos) unless you have a legal right to use, copy, distribute, or otherwise exploit the copyrighted work. Doing so may provide the basis for disciplinary action, civil litigation, and criminal prosecution.
Other Inappropriate Activities

Use Sattler’s computing facilities and services for those activities that are consistent with the educational, research and public service mission of the College. Other prohibited activities include:

  • Activities that would jeopardize the College’s tax-exempt status
  • Use of Sattler’s computing services and facilities for political purposes
  • Use of Sattler’s computing services and facilities for personal economic gain
Privacy and Personal Rights
  • All users of the college’s network and computing resources are expected to respect the privacy and personal rights of others.
  • Do not access or copy another user’s email, data, programs, or other files without the written permission of Sattler’s Director of Information Technology and Director of Operations.
  • Be professional and respectful when using computing systems to communicate with others; the use of computing resources to libel, slander, or harass any other person is not allowed and could lead to college discipline as well as legal action by those who are the recipient of these actions.

With the exception of adult content and content that could harm network security, Sattler College does not generally monitor or limit the content of information transmitted on the campus network, it reserves the right to access and review such information under certain conditions. These include: investigating performance deviations and system problems (with reasonable cause), determining if an individual is in violation of this policy, or, as may be necessary, to ensure that Sattler is not subject to claims of institutional misconduct.

Access to files on College-owned equipment or information will only be approved by specific personnel when there is a valid reason to access those files. Authority to access user files can only come from the Director of Information Technology in conjunction with requests and/or approvals from senior members of the College. External law enforcement agencies and Sattler Public Safety may request access to files through valid subpoenas and other legally binding requests. All such requests must be approved by the Board. Information obtained in this manner can be admissible in legal proceedings or in a College hearing.

Privacy in Email

While every effort is made to ensure the privacy of Sattler College email users, this may not always be possible. In addition, since employees are granted use of electronic information systems and network services to conduct College business, there may be instances when the College, based on approval from authorized officers, reserves and retains the right to access and inspect stored information without the consent of the user.

User Compliance

When you use College computing services, and accept any College issued computing accounts, you agree to comply with this and all other computing related policies. You have the responsibility to keep up-to-date on changes in the computing environment, as published, using College electronic and print publication mechanisms, and to adapt to those changes as necessary.

Sattler College IT Services offers loaner laptops for temporary use by students, faculty and staff. The devices are Chrome OS laptops configured for login using the same username and password configured for all other school services. All loaner laptops include the standard G-Suite applications (i.e. Drive, Docs, Sheets, Gmail). These loaner laptops are intended for emergency, short-term loans only. Laptops will be checked in and out via a kiosk located in the copy room.

 

Usage Limitations

Short Term Policy

The Sattler College loaner laptops are available to assist students, faculty and staff who have forgotten their primary personal computer and need a temporary replacement. Under this policy (Short Term) a laptop that is checked out to replace a forgotten or missing laptop must be returned by the end of the same day. Subject to availability.

Long Term Policy

The Sattler College loaner laptops are available to assist students, faculty and staff whose primary personal computer is being repaired. Under this policy (Long Term) the loan is for a maximum of seven calendar days unless the repairs will take longer. In such cases users must provide documentation to this effect from the manufacturer. Email extension requests to support@sattlercollege.org. Subject to availability.

Usage Guidelines
  • Please use the bag or kit provided by the Sattler College IT staff
  • Please keep food and beverages away from the device
  • Please avoid touching a laptop’s screen as it is very sensitive and can be punctured if not handled properly
  • Please do not remove any components from loaner devices
  • Do not otherwise alter the device’s hardware
Privacy

Login history and IP address data is tracked for recovery purposes. See Sattler College Privacy Policy for additional policy that applies to the use of Sattler College software, hardware and other technology systems.

Loss or Damage Fees

The user that checks out the loaner laptop is financially responsible for the device and accessories. All lost or damaged laptop kits are subject to a $400 replacement fee that may be added to their student account balance.
